☝️ The most important facts in brief

  • Help Scout offers WhatsApp from the Standard plan as a service channel. It does not mention campaigns, and its documentation describes the AI only for the website widget.
  • Licences cost $25, $45 or $75 per user, plus $0.75 per AI resolution. From around 170 resolutions a month, the AI costs a team of five on Standard more than its licences.
  • Data is hosted on AWS in the US, and the security documentation names no EU region.
  • Reporting is criticised on OMR, G2 and Capterra alike, and on OMR it is the most frequent complaint.
  • The right Help Scout alternative depends on your reason to switch: armincx by Chatarmin for WhatsApp in DACH shops, Gorgias for Shopify, Zendesk for reporting and processes, Front for a shared inbox.

Help Scout now supports WhatsApp on every paid plan. That removes the argument most comparison articles use to justify a Help Scout alternative.

Teams switch anyway. The reasons are in the reviews and on the pricing page: shallow reporting, AI costs per answer and hosting in the United States.

This comparison covers ten Help Scout alternatives, sorted by exactly those reasons and written for e-commerce brands selling into Germany, Austria and Switzerland (DACH). Every figure has a source, all retrieved on 12 October 2026.

Is there an alternative to Help Scout?

Yes. Which Help Scout alternative fits depends on why you want to leave. For DACH shops with WhatsApp as their main channel, that is armincx by Chatarmin; for Shopify shops, Gorgias; for deeper reporting, Zendesk; and for teams that want to keep a shared inbox, Front.

Help Scout and 10 alternatives compared

Tool Billing Entry price per source WhatsApp Switch here if …
Help Scout (reference) per user, AI per resolution $25 per user from Standard starting point
armincx by Chatarmin package, AI via credits on request core channel WhatsApp is your main channel
Lime Connect (formerly Userlike) package from 3 seats €87 per month, annual from Pro you want chat and messengers with EU hosting
Gorgias per ticket, AI per resolution $10 for 50 tickets yes you sell on Shopify
Zendesk per agent, plus add-ons €19 per agent, annual from Suite Team reporting and processes are growing
Freshdesk per agent, plus AI sessions €17 per agent, annual via Freshdesk Omni you want low-cost ticketing
Zoho Desk per user €7 per user, annual from Standard budget is tight
Front per seat $25 per seat, annual add-on from Professional you want to keep the shared inbox
Crisp per workspace €45 for 4 seats from Essentials you want a fixed monthly price
Fin (formerly Intercom) per seat, AI per outcome $29 per seat yes the AI agent should answer first
Tidio per conversation $24.17 per month yes live chat is your main channel

All prices exclude VAT. Prices are in euros wherever the vendor publishes a German or European price list; these are German list prices. Help Scout, Gorgias, Front, Fin and Tidio only show US dollars on their pricing pages, so exchange rate risk comes on top. Sources are linked in the tool profiles further down.

What Help Scout can do in 2026, and where it stops

Help Scout is a shared inbox with a knowledge base (Docs) and a website widget (Beacon). The tool is deliberately lean, and that is exactly why people like it.

What Help Scout does with WhatsApp:

  • WhatsApp, Instagram and Messenger are part of the Standard plan and therefore of every paid plan (pricing page).
  • Messages land in the inbox, replies run inside the 24-hour window and after that via approved templates (WhatsApp page).

What the WhatsApp page does not mention:

  • Campaigns and broadcasts to opt-in lists.
  • AI on WhatsApp. Help Scout's documentation describes the AI Answers feature only inside the Beacon, the widget on your website.

In practice: WhatsApp works as a service channel. As a marketing and automation channel, WhatsApp is not what Help Scout was built for.

What Help Scout costs: licences plus AI per answer

According to the pricing page, there are four plans:

  • Free: 5 users, 1 inbox, 1 Docs site, 100 contacts per month
  • Standard: $25 per user per month
  • Plus: $45 per user per month
  • Pro: $75 per user per month, minimum 10 users

For annual billing, the page advertises a 16% discount. Each extra inbox costs $10 per month (annual) or $12 (monthly). Each extra Docs site costs $20 or $24 respectively.

On top of that comes the AI (documentation):

  • $0.75 per resolution, meaning per session resolved without a human. Greetings and follow-up questions are not charged.
  • The three-month trial is for new customers only. Existing customers pay from day one.
  • Billing is in arrears. On annual plans the charges come out of your prepaid credit, which can therefore run out before the year ends.

Worked example for a team of five on Standard:

Item Cost per month
5 users × $25 $125
500 AI resolutions × $0.75 $375
Total $500

From around 170 AI resolutions a month, the AI costs this team more than its licences. Seasonal peaks in Q4 push the bill further.

A note for existing customers: In 2025, Help Scout gave many customers six months' notice of a switch to a contact-based model. A long-standing user describes on bitsplitting.org how his $22 plan would have cost from $50 per month under the new model. With the two-year loyalty discount, he was left at $28.60.

The current pricing page shows per-user prices again. If you are still billed by contacts, compare your invoice with today's per-user prices first.

Four reasons to look for a Help Scout alternative

1. Reporting is too shallow. On OMR Reviews, the leading software review platform in the German-speaking market, this is the most frequent criticism. G2 and Capterra show the same pattern, especially for growing teams.

2. The AI outgrows the licences. $0.75 per resolved session is fair at low volume. At several hundred AI answers a month, the AI line overtakes the licence costs.

3. Hosting is in the United States. According to its security documentation, Help Scout hosts on AWS servers in the US, and the page names no EU region. There is a standard DPA (data processing agreement); according to the same page, Help Scout does not sign custom ones. For legal teams in the DACH region, that often ends the discussion.

4. Every unit costs extra. Additional inboxes and Docs sites are billed individually. On Capterra Germany, users ask for several knowledge bases per workspace. If you run several brands or countries, you pay per unit.

The 10 Help Scout alternatives by reason to switch

When WhatsApp becomes your main channel

armincx by Chatarmin

Chatarmin's AI customer service, with WhatsApp as its core channel. Email, chat and social run in the same inbox.

  • WhatsApp: service and WhatsApp campaigns in one system, which is exactly the part Help Scout does not cover
  • AI: takes actions in your shop, such as checking order status, cancelling orders and changing addresses
  • Automation: The top quarter of 140 active merchants (35 shops) automates an average of 61.2% of resolved tickets. Measured, not an "up to" figure
  • Shop connections: including Shopify, Shopware, WooCommerce, Magento and JTL, a widely used German ERP
  • Hosting: Frankfurt, certified to ISO/IEC 27001:2022 by TÜV Austria
  • Support: German- and English-speaking support
  • Price: package with fixed team seats, AI via credits, on request
  • Switch here if WhatsApp accounts for more than half of your enquiries and service and marketing belong in one tool

Lime Connect (formerly Userlike)

The DACH option for chat and messengers (pricing page).

  • Price: Pro from €87 per month on annual billing (€105 monthly), minimum 3 seats
  • WhatsApp: included in Pro; the Free plan has no messengers
  • AI: AI agent €99 per month for 100 conversations, Copilot €19 per seat
  • Hosting: developed in Germany, hosted exclusively on European ISO 27001 servers
  • Catch: seats are charged even for users who never chat with customers
  • Switch here if EU hosting is mandatory and live chat plus messengers are at the centre

When you run a high-volume Shopify shop

Gorgias

Bills per ticket instead of per agent, from 50 to 5,000 tickets a month (Gorgias).

  • Price: Starter $10 for 50 tickets, Basic $60 for 300, Pro $360 for 2,000, Advanced $900 for 5,000 (eesel, June 2026)
  • AI: $1.00 per resolution on Starter, $0.90 from Basic
  • WhatsApp: included in the plan, but eesel documents AI billing only for email, chat and SMS
  • Catch: seasonal peaks drive the bill because every ticket counts. Extra tickets cost $0.40 each on Starter
  • Switch here if your shop runs on Shopify and your team stays small while volume grows

When reporting and processes are no longer enough

Zendesk

The step up when several teams, countries and SLAs come together (zendesk.de, German pricing page).

  • Price: Support Team €19, Suite Team €55, Suite Professional €115 per agent on annual billing (monthly €25, €69, €149)
  • AI: Copilot €50 per agent. Automated resolutions come in a fixed allowance, each additional one costs €1.50 in a bundle or €2.00 pay-as-you-go
  • WhatsApp: from Suite Team, with additional fees
  • Catch: far more functionality than Help Scout, and correspondingly more to set up
  • Switch here if you need routing, SLAs and reporting across many agents

Freshdesk

Classic ticketing with a low entry price (German pricing page).

  • Price: Growth €17, Pro €52, Enterprise €84 per agent on annual billing (German list prices)
  • AI: Copilot from Pro at €29 per agent. AI agent sessions cost €45 per 100 once the 500 one-off included sessions are used up
  • WhatsApp: according to gladly, via the separate Freshdesk Omni product line with its own prices. The Freshdesk pricing page itself does not list WhatsApp
  • Switch here if email remains your main channel and you want more automation rules

Zoho Desk

The cheapest paid entry per user in this list (pricing page).

  • Price: free plan for 3 users, paid plans from €7 per user on annual billing (German list price)
  • WhatsApp: from the Standard plan
  • Catch: the pricing page does not mention an EU data centre option. Ask about it explicitly before you sign
  • Switch here if you already use Zoho or budget drives the decision

When you want to keep a shared inbox

Front

The closest to Help Scout in approach: teams work together in an inbox that feels like email (pricing page).

  • Price: Starter $25, Professional $65, Enterprise $105 per seat on annual billing
  • WhatsApp: add-on from Professional, billed at Meta's costs plus a 20% admin fee
  • AI: Autopilot from $0.05 per conversation on top
  • Catch: Starter allows only one channel type and a maximum of 10 seats
  • Switch here if your team coordinates a lot internally and the inbox should be a teamwork tool rather than a ticketing system

Crisp

Bills per workspace instead of per agent (pricing page).

  • Price: Free with 2 seats, Mini €45 with 4, Essentials €95 with 10, Plus €295 with 20 seats. Each extra agent costs €10 on Plus (featurebase, July 2026)
  • WhatsApp: only from Essentials
  • Hosting: on European servers, according to Crisp
  • Catch: the jump from 4 to 10 seats is also a price jump from €45 to €95
  • Switch here if you want a predictable fixed price and your team has between 5 and 10 people

When the AI agent should answer first

Fin (formerly Intercom)

Intercom renamed itself Fin in May 2026 (MarTech). Since 10 September 2026, Fin has belonged to Salesforce and continues as part of Salesforce AI Labs (press release).

  • Price: helpdesk seat from $29 per month (pricing page)
  • AI: $0.99 per outcome, minimum 50 outcomes a month
  • WhatsApp: yes, the AI agent works there too
  • Catch: how prices and roadmap develop under Salesforce is open. On longer contracts, negotiate a price adjustment clause
  • Switch here if you sell a digital product with in-app support and the AI should handle most enquiries

Tidio

Comes from live chat and bills per conversation instead of per seat (pricing page).

  • Price: Free with 50 conversations, Starter $24.17 for 100, Growth from $49.17
  • WhatsApp: listed on all plans
  • AI: Lyro as an add-on from $32.50 for 50 conversations
  • Catch: the 50 free Lyro conversations on the Free plan are a one-off allowance and do not renew monthly
  • Switch here if your support happens mainly on your website and ticket volume is low

Help Scout reviews: praise for the interface, criticism of reporting

OMR Reviews: 4.0 out of 5 from 12 reviews (OMR, retrieved 12 October 2026)

  • Praise: clean interface, quick onboarding, responsive support
  • Criticism: reporting too thin, workflows and tags not always intuitive to set up, searching older tickets is cumbersome

G2: 4.4 out of 5 from 431 reviews (G2, retrieved 12 October 2026)

  • Praise: interface and team collaboration
  • Criticism: missing features, limited customisation, reports without depth for larger teams

Capterra: 4.6 out of 5 from 226 reviews (Capterra, retrieved 12 October 2026)

  • Ease of use: 4.7
  • Customer service: 4.6

How to read the numbers: Capterra labels incentivised reviews, and on G2 some ratings come from invitations sent on behalf of the vendor. The stars show a direction, nothing more. The reporting issue carries more weight, because it appears independently on all three platforms.

When Help Scout remains the better choice

Help Scout is a good tool. A small team is productive on day one, and the free plan for 5 users makes testing easy.

Stay with Help Scout if:

  • your support is mostly email and help centre articles
  • your team has fewer than ten people
  • response times, volume and satisfaction are enough reporting for you
  • your AI usage stays at a few hundred resolutions a month

Switching pays off if:

  • your WhatsApp volume grows faster than your email volume
  • your legal team requires EU hosting
  • you need several inboxes and Docs sites for several brands

What counts for the decision is your last quarter, not the pricing page. Export the enquiries of the past three months by channel. Then lay every offer on your shortlist over them, including AI usage and Meta's WhatsApp costs. The ranking of the tools often looks different afterwards.

armincx as a Help Scout alternative: who we fit and who we do not

This section is about our own product. That is why the second list gets the same prominence as the first.

armincx fits if:

  • you are a DACH shop and WhatsApp is, or should become, a main channel
  • the AI should not just look up orders but also process them in your shop
  • service and WhatsApp marketing should run in one system
  • hosting in Frankfurt and ISO 27001 certification matter for your data protection review

armincx does not fit if:

  • your support is almost entirely email and will stay that way. Then Help Scout is the simpler solution.
  • you need telephony with queues and workforce planning. That is what Zendesk is built for.
  • you run a software product with in-app support. Fin is stronger there.
  • you want to see independent user reviews of the AI customer service. The Chatarmin reviews on OMR and G2 refer to the WhatsApp marketing tool; armincx has none of its own yet.

Moving off Help Scout: four things that matter

1. Rethink inboxes and tags. Because every extra inbox costs money in Help Scout, many teams bundle everything into a few mailboxes and sort by tags. Plan the new structure before you export any data.

2. Redirect your Docs URLs. Your Help Scout Docs site has its own URLs, which often rank on Google. Set up 301 redirects to the new addresses, or you lose traffic that used to prevent tickets.

3. Turn saved replies into knowledge. For an AI, good help centre articles are worth more than lots of canned text. Merge similar saved replies into articles before you import them.

4. Switch the Beacon and your WhatsApp number. The Beacon widget has to come off your website as soon as the new chat is live. You can take your WhatsApp Business number with you. Agree the move date in advance so no customer message gets lost.

Conclusion: which Help Scout alternative fits your reason to switch

For a small email team, Help Scout is hard to beat. As soon as something holds you back, that reason points to the right Help Scout alternative:

  • WhatsApp becomes the main channel, shop in DACH: armincx by Chatarmin
  • EU hosting for chat and messengers: Lime Connect
  • High-volume Shopify: Gorgias
  • Reporting and processes across many agents: Zendesk
  • Small budget: Zoho Desk or Freshdesk
  • Shared inbox with more channels: Front
  • AI agent first: Fin

If WhatsApp is overtaking email for you, book an armincx demo. Bring ten typical customer enquiries from Help Scout. In the demo, you will see how the AI answers exactly those cases and which of them it handles directly in your shop.

FAQ about Help Scout alternatives

Is there an alternative to Help Scout?

Yes. Teams that want to keep a shared inbox end up with Front, high-volume Shopify shops with Gorgias and DACH shops with WhatsApp as their main channel with armincx by Chatarmin.

Does Help Scout support WhatsApp?

Yes. WhatsApp is included as a service channel in the inbox from the Standard plan, but Help Scout does not describe campaigns or broadcasts for it.

How much does Help Scout cost per user?

Standard costs $25, Plus $45 and Pro $75 per user per month, with Pro requiring at least 10 users. The pricing page advertises a 16% discount for annual billing, and the AI costs an extra $0.75 per resolution.

Does Help Scout host data in the EU?

No. According to its security documentation, data sits on AWS servers in the US, and for GDPR (DSGVO) there is a standard DPA without custom changes.

Is there a free alternative to Help Scout?

Yes. Tidio starts free with 50 conversations and up to 10 seats, Zoho Desk with 3 users and Crisp with 2 seats.

Which Help Scout alternative is best for e-commerce?

It depends. At a few hundred resolutions a month, $0.75 per resolution is cheap, but from around 170 resolutions the AI costs a team of five on Standard more than its licences.

How long does it take to move off Help Scout?

It depends. With a clean inbox structure, tidy Docs and one channel to start with, a move takes a few weeks, while several brands and Docs sites need more lead time.
